Leland Host Team Coordinator

 

Position: Part time hourly                                                      
Reports To: PC3 Leland Pastor

Purpose: The Host Team Coordinator leads a team of hospitable leaders who create environments of welcome, in order to advance the mission of the church: Reach People and Help Them Walk With God.  Specifically, this individual coordinates the activities and functions of the Leland volunteer host team which can include but not limited to: Welcome Area Set-up/Take-down, Cafè, Parking, Safety, Greeting, What’s Next, Volunteer Room snacks/breakfast, as well as Money Collecting, Counting, and Securing.

Essential Duties and Responsibilities:

  • Manage Volunteers through Church Community Builder & Planning Center online databases

    • Imputing & maintaining volunteer information

    • Build serving volunteer rotation teams and schedules within Planning Center

    • Train volunteers to actively engage in Planning Center for schedule management

  • Recruit and Lead a Team of Captains: Invest in Captains who lead teams of volunteers on a monthly servant rotation

    • Provide leadership trainings as necessary

    • Value through ongoing appreciation (thank-you cards, birthday, big life events, etc.)

    • Communicate weekly for vision alignment, wins, improvements, feedback, etc.

    • Cultivate a Care culture through the Team Captains (prayer and needs)

    • Provide necessary information to captains, so that they can pass on to their volunteer team members

  • Recruit and onboard new volunteers:

    • Provide shirt and/or name-tags for volunteers identification

    • Assist in explaining vision, expectations, arrival times/locations, scheduling rotation and captain leadership

  • Create a culture of ongoing recruitment within current volunteers

  • Recruit and onboard What’s Next volunteers

  • Assist in setting up and maintaining What’s Next Environment for Sunday Services

  • Training volunteers to help people take their “Best Next Step” for Christ and the church

  • Follow-up with attenders that seek guidance outside of Sunday AM

  • Manage What’s Next request submitted through the church website

  • Prepare for Sunday Host Team needs:

    • Restock and resourcing ministry areas:

    • Rave Card

    • Café supplies

    • Greeter/Usher/Parking equipment and supplies (signs, banners, wayfinding)

    • What’s Next supplies

    • Volunteer Green Room supplies

    • Volunteer Snack supplies

    • Offering equipment and supplies

    • Lord’s Supper, holiday, or special event supplies, when applicable

  • Recruit and Equip Safety Team:

    • Provide training for Safety Team volunteers

    • Complete background check for safety team volunteers

  • Oversee and Manage Offering Process:

    • Responsible for managing a team in collecting, counting, recording, and securing offering in compliance with Port City Community Church policies and procedures

    • Complete background checks for money counters

  • Organize Sunday Food & Snacks & Water

    • Water and Food for Sunday Staff & Full-Day volunteers

    • Water and Snacks for Sunday Half-Day volunteers

  • Contribute to Sunday morning environment themes for special days, series, or holidays

  • Collect and Report Sunday morning Attendance

  • Attend Leland Campus Staff meetings

  • Attend ALL Staff 1st Wednesday monthly meetings at Wilmington Campus


General Work Schedule:

  • Part time (20 hours, excluding lunch) hourly

  • Required: Sunday, 6am-2pm Church Services including set-up and take-down

  • Required: Monday, Leland Staff Meeting, 10-12noon

  • Required: 1st Wednesday of the Month, PC3 ALL STAFF at Wilmington Campus

  • Expected: Weekly 1hr one-to-ones with Direct Report
